What a relieving letter should cover

  • The employee’s name, employee ID and designation
  • A reference to the resignation letter and its date
  • The last working day, stated as “with effect from the close of working hours on” that date
  • The period of employment, if you want it on record
  • Full and final settlement: completed, or to be processed
  • Handover of company property, documents and information
  • A reminder about confidentiality, where it applies
  • Signature of an authorised person, on the company letterhead

Issue it on the last working day

The best time to hand over the relieving letter is the last working day, together with the experience letter and the settlement statement. It costs nothing, it closes the file, and it is remembered: former employees are also your future customers, suppliers and references.

Keep it factual

A relieving letter is not the place for complaints or praise. State what happened and when. If the notice period was not served or there are dues to recover, record that separately in the settlement statement rather than in a letter the person will show their next employer.

What is a relieving letter?

It is the employer's written confirmation that an employee's resignation was accepted and that they were released from their duties on a given date. New employers ask for it to be sure the person is free to join and has left the last job properly.

What is the difference between a relieving letter and an experience letter?

A relieving letter says the person has been released: resignation accepted, last working day, dues and handover. An experience letter certifies what they did: designation, period of service, responsibilities and conduct. Employees usually need both, and you can make the second with our experience letter format.

How soon must the final dues be paid?

Section 17(2) of the Code on Wages, 2019 says that when an employee resigns, or is removed, dismissed or retrenched, the wages payable must be paid within two working days. If the settlement is still being worked out when you issue the letter, choose 'Will be processed separately' rather than saying it is complete.

Can an employer refuse to give a relieving letter?

No central law prescribes a relieving letter in so many words. But the next employer will ask for it, and holding it back to put pressure on a former employee only invites complaints and disputes. If there is a genuine dispute about notice or dues, say so in writing instead of staying silent.

Should the letter say that all dues are settled?

Only if they are. The letter is relied on by both sides later, so choose the settlement line that matches the facts, or choose 'Do not mention'.

Can the letter be in Hindi?
