- 2Tick what else to ask for: the relieving letter and the full and final settlement (for someone leaving), and a line asking that the certificate mention your designation, dates and main duties.
- 3Enter your name, designation, department, employee ID, date of joining and last working day. What you type stays in your browser, on your device.

- 5Check the preview, press Download PDF / Print, sign it and send it. Press Word (.docx) if you want to change the wording.

What the application says
- Who you are: your name, designation, department and employee ID
- Your dates: the date you joined and your last working day, or that you still work there
- What you need it for: a new employer, a visa, admission to higher studies, your own records, or in your own words
- What it should mention: your designation, your period of service and your main responsibilities, which is what a new employer or a background check looks for
- What else you need, if you are leaving: the relieving letter and the full and final settlement
- When you need it by, and where to reach you
Ask for what a background check will look at
A certificate that gives only your name and dates is less use to you than one that also gives your designation and what you did. Background checks compare titles and dates against what you put on your CV, and a mismatch reads as a red flag. Ticking “Ask for your designation, dates and main duties to be mentioned” adds that request to the letter. If you were promoted, say so in the extra paragraph, with the dates of each designation.
Send it in writing, and keep a copy
Email it to HR and your reporting manager, or hand it in and ask for a signed “received” copy. If nothing arrives by the date you asked for, follow up by replying to your own email, so the whole record stays in one thread.

Questions people ask
What is an application for an experience certificate?
A short letter asking your employer, or former employer, to issue a certificate of your employment: your designation, the period you worked there and often the work you did. It gives HR every detail they need to write the certificate, and gives you a dated record of the request.
When should I ask for it?
Before your last working day if you can, with your resignation or during the notice period. Paperwork is far easier to get while you are still on the rolls and someone still owns your file. If you have already left, ask in writing all the same: the dated application is what you point to when you follow up.
What is the difference between an experience certificate and a relieving letter?
A relieving letter says that you have been relieved of your duties on a given date, after your resignation was accepted. An experience certificate describes your employment: the designation, the period and often your duties. A new employer usually asks for both, which is why this letter can ask for the two together.
Can I ask for my full and final settlement in the same letter?
Yes: tick 'Also ask for your full and final settlement'. On timing, section 17(2) of the Code on Wages, 2019 says that where an employee resigns, among other cases, the wages payable must be paid within two working days of that event. That rule covers wages; gratuity and provident fund run on their own timelines. Our guide to what to collect when you leave a job explains both, and what to do when something does not arrive.
What should the application include?
Your name, designation, department and employee ID, your date of joining and last working day, what you need the certificate for, the date you need it by, and your signature with a phone number and email. The format prints each of these in its place.
Can I write it in Hindi?
Yes. Switch Document language to हिंदी above the preview. The letter takes the layout Hindi applications use: सेवा में, the subject line, सविनय निवेदन है कि मेरा नाम … है, and धन्यवाद सहित, भवदीय. Anything you type yourself, such as your designation or the company's name, prints exactly as you type it.
Can I download it in Word?
Yes. Press Word (.docx) above the preview. The file is laid out like the PDF and every word can be edited. It is an ordinary .docx file, the format used by Microsoft Word, Google Docs, WPS Office and LibreOffice.
Is there a blank format to fill in by hand?
Yes. Press 'Blank format', or use the blank PDF and Word files linked at the top of this page. The blank is for someone who has left, with the purpose left as a line to write on.
Can my employer make the experience certificate here?
Yes. The experience letter format words the certificate itself, and the relieving letter and the full and final settlement are here too.
