How to use it

What a delivery challan must contain

Rule 55 of the CGST Rules lists the details. This format has a place for each of them:

  • Date and a consecutive challan number of up to 16 characters
  • Name, address and GSTIN of the consigner (you)
  • Name, address and GSTIN of the consignee, if registered
  • HSN code and description of the goods
  • Quantity, which may be provisional when the exact quantity is not known
  • Taxable value
  • Tax rate and tax amount, where the movement is a supply to the consignee
  • Place of supply, when the goods move to another state
  • Signature

Get it signed on delivery

The line “Received the above goods in good condition” with the receiver’s signature, name and date is your proof of delivery. Keep the signed triplicate copy. It settles most disputes about short or damaged goods.

Number challans separately from invoices

Use a series of their own, such as DC-001, so that your tax invoice numbers stay consecutive. When goods sent on a challan are later sold, mention the challan number on the tax invoice.

Questions people ask

When is a delivery challan used instead of a tax invoice?

Under Rule 55 of the CGST Rules: when goods are sent for job work, when they move for reasons other than a sale (to your own godown, an exhibition, for repair, as samples), when goods are sent on approval, and when the quantity is not known at the time of removal, as with liquid gas.

How many copies are needed?

Three. The original is marked for the consignee, the duplicate for the transporter and the triplicate for the consigner, which is you. Choose the marking under More options and print each copy.

Do I need an e-way bill with a delivery challan?

Generally yes, when the value of the goods is more than ₹50,000. The e-way bill is generated against the delivery challan in place of an invoice. Some states use a different limit for movement inside the state, so check the rule for yours.

Should GST be shown on a delivery challan?

Usually only the value of the goods is shown, because no sale is taking place. Rule 55 asks for the tax rate and amount where the movement is itself a supply to the consignee. Choose 'Show GST on the goods' in that case.

Goods were sent on approval and the customer kept them. What now?

Issue a tax invoice at the time the customer approves the goods. If there is no decision within six months of sending them, the invoice must be issued at that point.

How long can goods stay with a job worker?

Inputs should come back, or be supplied from the job worker's premises, within one year, and capital goods within three years. After that the law treats them as supplied on the day they were sent out.
