Resignation Letter – a filled-in sample

Made with the tool above from made-up details: every name and number in it is invented. Press “See a filled-in example” in the tool to open it there and download it.
What the letter says
- That you resign, from which post, in which department, with your employee ID
- Your notice period, as your appointment letter or company policy states it, and your last working day
- A reason, only if you want to give one
- An early-release request, if you want one, with how the notice shortfall should be handled
- The handover: that you will hand over your work and return company property
- A request for your relieving letter, experience certificate and full and final settlement
- A thank-you, and your signature with a phone number and email
Notice period and last working day
The letter does not work out your last day for you, because companies count notice differently: some from the day you resign, some from the next day, some in working days. Read your appointment letter, then type the notice period and the last working day as it gives them. If the two do not match what HR expects, it is far easier to fix before the letter goes than after.
After you resign
Your employer’s side of the paperwork is the relieving letter, the experience letter and the full and final settlement. If they are slow to arrive, ask for them in writing with the application for experience certificate, which can ask for all three.
Keep it short and polite
A resignation letter is kept on your file and may be read by a future employer’s background check. State the facts, thank people if you mean it, and leave complaints for a conversation.
Questions people ask
What should a resignation letter say?
That you are resigning, from which post, and your last working day. The rest is optional: your notice period, a reason, how you will hand over, and a request for the documents you will need. Keep it short and factual; it goes on your file.
How much notice do I have to give?
What your appointment letter, contract or company policy says. This format does not choose it for you: type it as your letter states it, "one month" or "90 days", and give the last working day that follows from it.
Can I ask to leave before my notice period ends?
You can ask. Tick 'Ask to be relieved before the notice period ends', give the date, and choose how the shortfall should be handled: adjusted against your leave balance, paid in lieu by you, or waived. Whether to agree is the employer's decision, under its policy, so the letter asks rather than tells.
Do I have to give a reason?
No. Choose 'Do not give a reason' and the letter simply resigns. If you prefer to give one, the reasons offered are worded neutrally: personal reasons, another opportunity, higher studies, a move to another city, health or family.
What happens after I resign?
On or after your last day the employer gives the relieving letter, the experience letter and the full and final settlement. Under section 17(2) of the Code on Wages, 2019, where an employee resigns, the wages payable must be paid within two working days of that event; gratuity and provident fund follow their own timelines. Our guide to what to collect when you leave a job has the list.
Should I resign by email or by letter?
Either, unless your company asks for one. Many ask for an email to your manager and HR: attach the signed PDF, or paste the text. If you hand in a printed letter, ask for a signed and dated copy as received, and keep it.
Can I write it in Hindi?
Yes. Switch Document language to हिंदी above the preview and the whole letter is worded in Hindi, under the subject '… पद से त्यागपत्र'. Anything you type yourself, such as your designation or your notice period, prints exactly as you type it, so type those in Hindi too.
Can I download it in Word?
Yes. Press Word (.docx) above the preview. The file is laid out like the PDF and every word can be edited. It is an ordinary .docx file, the format used by Microsoft Word, Google Docs, WPS Office and LibreOffice.
Is there a blank format to fill in by hand?
Yes. Press 'Blank format', or use the blank PDF and Word files linked at the top of this page.
