How to use it
- 1Enter your company name, address and logo once. They are saved on your device for next time, along with who signs.
- 2Fill in the employee's name, ID, designation and department.
- 3Give the show cause notice the warning follows, if there was one, and the same facts. Say whether the employee replied and when.
- 4Write what you expect from now on, and choose what else to say: that a copy goes on the personal file, that a repetition may lead to disciplinary action, and a line for the employee to sign as received.
- 5Check the preview, press Download PDF / Print, sign it and hand it over. Keep a signed copy, or a note of when and how it was given.
Warning Letter – a filled-in sample

What the letter says
- The matter, as facts, and the show cause notice it follows
- The reply: considered and not found satisfactory, or none received
- The warning: not to repeat such conduct
- What you expect from now on, in one sentence
- Optionally: that a copy goes on the personal file, that a repetition may lead to disciplinary action, and a line for the employee to sign as received
Firm, not threatening
A warning that promises dismissal next time commits you to something you may not be able to do without an enquiry. “May lead to disciplinary action under the applicable standing orders and rules” is accurate wherever the employee works, and it is what the letter says.
Keep the trail together
The show cause notice, the reply, the warning, and the employee’s signature or a note of how each was given: kept together on the file, they are what anyone reviewing the matter later will ask for.

Questions people ask
When is a warning letter given?
Usually after a show cause notice, when the employee's explanation is not accepted or no reply comes, for a matter that does not call for a heavier step. It can also be given on its own for a first, minor lapse. Either way it records what happened, that the employee was warned, and what is expected from now on.
Is a warning a punishment under the Model Standing Orders?
No. Where the Model Standing Orders, 2026 apply, the penalties that follow an enquiry are dismissal, suspension, a fine, stoppage of an annual increment and reduction in rank (order 24(6)(f) of S.O. 2312(E) of 8 May 2026). A written warning is not among them. It is a record and a caution, not a penalty, and the letter is worded that way.
Why does a warning on file matter?
Because repetition matters. Under the Model Standing Orders, "habitual" means misconduct three or more times in the preceding twelve months, and habitual late attendance, habitual absence without leave and habitual neglect of work are themselves listed as misconduct (order 24(5)). Warnings on file, with their dates, are how that history is shown later.
Do I need a show cause notice before a warning?
The Model Standing Orders do not lay down a procedure for a warning, since it is not one of their penalties. Asking for an explanation first is still fairer, and leaves a better record: the warning can then say the reply was considered and not found satisfactory.
What should it say?
The matter, as facts; the show cause notice it follows and what became of the reply; the warning itself; what you expect from now on; and, if you choose, that a copy goes on the personal file and that a repetition may lead to disciplinary action under the applicable standing orders and rules. Signed by someone authorised, on letterhead.
Can the letter be in Hindi?
Yes. Switch Document language to हिंदी above the preview and the whole letter is worded in Hindi, under the subject 'चेतावनी पत्र'. It is written to the employee ('आप'), so it reads the same whoever the employee is.
Can I download it in Word, or get a blank format?
Yes. Press Word (.docx) above the preview for an editable file, or 'Blank format' for one to fill in by hand; the blank is for a warning that follows a show cause notice. The blank PDF and Word files are also linked at the top of this page.
