Get the facts exactly right
Background-verification companies check experience letters against the employer’s records. Make sure that:
- The name matches the employee’s PAN or Aadhaar
- The dates are the real date of joining and the real last working day
- The designation is the last one held. Mention earlier roles in the extra paragraph if they matter
Keep a copy
File a copy of every letter you issue, with its reference number. When a verification call comes two years later, you can confirm the letter in a minute.
Only for people who really worked for you
An experience letter is relied on by the next employer, by banks and by embassies. Issuing one for a person who did not work for you, or with stretched dates or a better designation, is fraud. It harms the person who is later found out and the reputation of your business.
Questions people ask
What is the difference between an experience letter and a relieving letter?
A relieving letter confirms that the employee has been relieved of their duties and has no dues or company property pending. An experience letter certifies the period, the role and the conduct. New employers usually ask for both, and many companies combine them in one letter.
What must an experience letter contain?
The employee's full name, their designation, the exact date of joining and the last working day, a line about their work and conduct, the date of issue, and the signature, name and designation of an authorised person, on the company letterhead and preferably stamped.
Should the salary be mentioned?
Normally not. Salary is proved by salary slips and Form 16. Mention it only if the employee asks for it for a specific purpose.
Can an employer refuse to give an experience letter?
An employee who has served and left properly is ordinarily entitled to a certificate of their service, and several state shop and establishment laws say so expressly. If there is a dispute about dues or notice, it is still better to certify the facts of service and deal with the dispute separately.
Who should sign it?
The proprietor, a director, or the HR or department head who has the authority to issue letters on behalf of the business. Their name and designation are printed under the signature.
Why does the form ask for a pronoun?
An English letter needs 'he', 'she' or 'they'. You know your employee, so you choose. The Hindi letter uses respectful wording that does not change with gender.
