Internship Offer Letter Format – Paid or Unpaid

Facts checked: 8 October 2026

Put an internship offer in writing on your own letterhead. Enter the role, the dates and the stipend, or mark it unpaid, and the letter is worded for you: the duration is worked out from the dates, the stipend is written in words, and the intern gets a place at the bottom to sign their acceptance. It prints in English or Hindi, and it says plainly that an internship is training, not a job offer.

What a clear internship letter covers

  • The role and the department
  • The start and end dates, so the duration is not open to argument
  • Where the intern works: at the office, remotely or both
  • The stipend in figures and in words, or a plain statement that it is unpaid
  • Who guides them, and their working hours
  • That it is training, not a job offer
  • Confidentiality, and how either side can end it early
  • The certificate at the end, and the date to accept by

When a letter is silent about money, each side is left to assume, and the two assumptions rarely match. A letter that states the stipend, or states that there is none, settles it before the first day.

After the internship

Keep the signed copy. When the internship ends, the dates and the role in this letter are what the completion certificate repeats. If the intern later joins as an employee, start again with an offer letter, and an appointment letter when they join.

Questions people ask

What should an internship offer letter include?

The role and department, the start and end dates, where the intern will work and their hours, the stipend or a plain statement that the internship is unpaid, who will guide them, what happens at the end (usually a certificate), any confidentiality you expect, how either side can end it early, and the date to accept by. This format covers all of them, with the intern's acceptance at the bottom.

Can an internship offer letter be for an unpaid internship?

Yes. Choose Unpaid and the letter says in so many words that no stipend or salary is payable, so nobody is left guessing. If you pay travel or food costs without a stipend, say so in the extra paragraph.

How do I write the stipend in an internship letter?

As a monthly figure. Enter it under Stipend and the letter prints it in figures and in words, for example ₹8,000.00 per month (Rupees Eight Thousand Only), followed by 'subject to deduction of tax where applicable', since whether tax is deducted depends on the facts. Your CA can tell you what applies to your stipends.

How is the duration worked out?

From the start and end dates, both counted. 2 November to 1 January is shown as 2 months, 56 days as 8 weeks, and anything else in days. Exact dates on the letter avoid the argument a phrase like 'about two months' invites.

Is an internship offer letter the same as a job offer letter?

No. An internship is a fixed period of learning and practical training, and this letter says it is not an offer of employment and does not by itself lead to a job. If you are hiring the person as an employee, use the offer letter, followed by an appointment letter when they join.

My college has asked for an internship offer letter. Will this do?

It carries what such letters normally show: your letterhead, a reference number and date, the role, the start and end dates, the intern's course and college if you enter them, and a signature from the company. If the college has its own form or wording, follow that.

Should the intern sign the letter?

Yes. The acceptance block at the bottom is for the intern to sign, name and date. Print two copies, or send the PDF and ask for a signed scan back by the accept-by date.

Can I download this internship offer letter format in Word?

Yes. Press Word (.docx) above the preview. The file is laid out like the PDF, and every word in it can be edited. It is a standard .docx file, the format used by Microsoft Word, Google Docs, WPS Office and LibreOffice. Press it with an empty form and you get a blank internship offer letter format in Word, with room to type.

Can the letter be in Hindi?

Yes. Switch Document language to हिंदी above the preview and the whole letter is worded in Hindi, including the stipend in words.

Is there a blank internship offer letter format?

Yes. Press 'Blank format' to print the letter with dotted lines in place of the details, to fill by hand, or use the blank PDF and Word files linked at the top of this page.
