What a salary certificate should cover

  • The employee’s name, employee ID and designation
  • The date of joining, and whether the job is permanent, on probation or on contract
  • Each salary component per month, and the gross
  • The deductions, and the net salary payable
  • The net amount in words, so the figure cannot be altered
  • The purpose it was issued for, if you want to limit it

Make it match the payslips

Whoever asked for the certificate will usually see the salary slips and the bank statement as well. If the certificate says a bigger number than the salary credits, the application stalls and the employee is the one who has to explain it. Copy the figures straight from the payroll, deductions included, and let the three documents agree.

Say what it was issued for

A certificate that says it was issued “for the purpose of applying for a bank loan” is harder to reuse somewhere it was never meant to go. It costs nothing and it protects the employee as much as the company.

When an employee is leaving

A salary certificate says what someone earns now. When they leave, the documents they need instead are the relieving letter and the experience letter, and the monthly record is the salary slip.

What is a salary certificate?

It is a letter on the employer's letterhead stating that a named person works there and what they are paid. Banks ask for it with a loan application, consulates ask for it with a visa application, and landlords sometimes ask for it before letting a flat. It is signed by an authorised person of the company and usually carries the company stamp.

What is the difference between a salary certificate, a salary slip and Form 16?

A salary slip is issued every month and shows what was actually paid for that month. A salary certificate is issued once, on request, and states the present salary in a form an outsider can rely on. Form 16 is the annual TDS certificate the employer issues for tax purposes. A bank usually asks for all three: the last few salary slips, a salary certificate on letterhead, and the latest Form 16.

Is a salary certificate required by law?

No law prescribes a salary certificate or its wording. It exists because banks, consulates and landlords ask for it. What the law does require is that you keep a register of wages and issue wage slips, and the certificate should simply repeat what those records already say.

Should the certificate show gross salary or net salary?

Show both. Banks work out how much they can lend from the net take-home, so a certificate that shows only the gross usually comes back with a query. This format lists each component, totals it as gross, subtracts the deductions and prints the net in figures and in words.

What should a salary certificate for a bank loan contain?

The employee's full name and employee ID, designation, date of joining, whether the job is permanent, the monthly break-up, the gross, the deductions and the net. Add the annual CTC if the bank has asked for it. Put the certificate on letterhead with the reference number, date, signature, designation of the signatory and the company stamp, so the bank can verify it.

Who should sign a salary certificate?

Someone authorised to speak for the company: a proprietor, a partner, a director, or the HR or accounts head. Print their name and designation under the signature and keep the office phone number and email on the letterhead, because banks and consulates do call to verify.
